Thank you for choosing PolarTie, your all-in-one SaaS platform for intelligent customer-facing AI and Live Agent solutions. We are committed to providing a transparent and flexible billing experience. This document outlines our policies regarding subscription billing, plan changes, refunds, and account cancellation.

Subscription Billing

  • PolarTie subscriptions are billed monthly in advance, based on the selected usage plan and included services.
  • Each plan grants access to platform features such as AI Agent minutes, live agent support, dashboards, and reporting tools.
  • Billing is usage-tier based, and customers may adjust their plan at any time.

Plan Modifications

  • You can upgrade or downgrade your plan directly in the PolarTie Portal.
  • Upgrades are applied immediately and prorated for the remainder of the billing cycle.
  • Downgrades are also applied immediately, and any unused balance resulting from a downgrade is credited to your account.
  • If credit is not refunded, it will be automatically applied to your next invoice(s) during future billing cycle(s) until fully used.
  • Credits are non-transferable and cannot be exchanged for cash unless explicitly refunded.

Cancellation Policy

  • You can cancel your subscription at any time from within your PolarTie account dashboard.
  • Service remains active until the end of the current billing cycle.
  • Cancellations do not generate automatic refunds for partial usage or unused features unless required by applicable law.

Refund Policy

  • Refunds are not issued automatically and must be requested by the account holder.
  • You may request a refund for any positive balance on your account by clicking the "Request Refund" button on the Subscription page of the PolarTie portal.
  • If a refund is not requested, the positive balance will be automatically applied to future billing cycles.
  • Refund requests may be submitted in the following cases:
    • Duplicate or erroneous billing
    • Technical platform failure directly attributable to PolarTie
    • Incorrect plan assignment caused by PolarTie systems or support
  • All refund requests are reviewed manually by our finance team and processed within 3–5 business days.

Account Data & Retention

After cancellation, account data and configuration may be retained for a limited period as defined in our [Data Retention Policy].

You may reactivate your account and restore prior settings during this retention period.
